Fernbank Museum offers exclusive evening rentals for your event. We service only one event per night, which gives you a more intimate and well-managed setting. Fernbank Museum also offers the services of an on-site coordinator to ensure your event runs as smoothly as possible. Your event coordinator will work with you from start to finish and will be on site at the beginning of your event. After our event coordinator has ensured everything is running smoothly, an event supervisor will be assigned and will remain available on site through the end of your event. Rental Guidelines
Rental Period and Availability: The Museum is available for event rental after 6 p.m. (the Museum is open daily until 5 p.m.; the last IMAX® show is finished at 5:45 p.m.). All events must conclude by 1 a.m. The Museum is open to the public Friday nights (January – November) for Fernbank’s Martinis & IMAX® presented by Turner Broadcasting System, Inc.; therefore, only The Fernbank Café is available for private functions.
Confirming an Event Date: The Museum can hold a date for up to 30 days as a courtesy while our rental information and policies are being reviewed. For convenience of planning and budgeting, approved outside caterers are informed of event and contact information for all dates that are placed on hold. If another client is interested in that date, a 48-hour decision period will be granted; after 48 hours, a facility agreement must be signed and payment made in full, otherwise the hold will be forfeited. No date is confirmed without signed contract and payment.
Required Documents
Facility Agreements and Payment: Payment is due in full at the signing of the facility agreement. The requested date and facilities will not be confirmed until the payment is made and the agreement is signed.
Beverage Service Agreement: A separate agreement will be issued with specific beverage service information as well as an estimated beverage cost. Full payment based on estimated charges is due no later then 30 days prior to event.
Certificates of Insurance: The Event Sponsor must supply a certificate of insurance that insures the Museum for the evening of the event no later than 30 days prior to event day. Please see the facility rental agreement for specific coverage requirements.
Contracted Services
Beverage Service: The Museum provides full bar service, including choice of bar set-up, beverage selection and coordination of all staff. No outside beverages may be brought into the facility. There is a beverage minimum for all Saturday evening events, Friday evening events in December and all cash bars. Beverage Service Information (Adobe Reader Required)
Catering: The Museum has six (6) approved caterers: Affairs to Remember, Avenue Catering Concepts, Bold American Catering, Carole Parks Catering, A Legendary Event, and Proof of the Pudding. These are the only caterers that are approved to work at Fernbank. Approved Caterers (Acrobat Reader Required)
